Payments and invoices
Updated October 31, 2026
Sahen has no card gateway. Customers pay the kitchen directly, by cash or by transfer, and your team confirms each payment in the console. This guide explains each method, when a pack starts, and how invoices and refunds are recorded.
Payment methods
You choose which methods your kitchen offers in Business → Payments. The console suggests the methods common in your country.
| Method | How it works |
|---|---|
| Cash on delivery | The driver collects cash at the door. |
| Bank transfer | The customer transfers to your account, using the details you set up, and can add a reference or upload proof. |
| Kitchen recording | Your team records a payment it received another way. |
In Jordan, kitchens also accept CliQ. The customer transfers to your CliQ alias, then uploads a screenshot or PDF of the transfer in the app and submits it. For each transfer method you decide whether proof is required, optional or not asked for, and whether a reference is required.
When does a pack start?
Checkout is honest: most packs do not start as paid.
- Transfer with proof: the pack waits for payment. Once the customer submits proof, it moves to pending confirmation and your team checks it against the bank.
- Transfer without proof: the pack goes straight to pending confirmation.
- Cash on first delivery: the pack starts on trust (see below).
Confirming a payment
Open Invoices in the console. Each open invoice shows the method, the reference and, for transfers, a View proof button. Check the money arrived, then choose Confirm payment. Only at that moment does Sahen add the meal credits to the customer's credit ledger, once, whoever confirms it. If proof is wrong, Reject proof tells the customer through a push notification, which opens the payment screen again.
Unpaid packs are drafts
A pack that is not paid (waiting for payment, pending confirmation or overdue) is a draft. It is not cooked and not delivered. When its next delivery reaches the daily cutoff, its days slide to the next available eating day. Nothing is lost: once payment is confirmed, delivery begins from the next cutoff.
Cash on first delivery
If you allow it, a cash pack can start before any money arrives. Sahen treats it as active for its first delivery only, so the kitchen cooks and the driver collects cash at the door.
- If the customer skips or pauses through that first delivery, the grace is not used up; the next delivery still goes out on trust.
- If the first delivery's date passes and the cash is still not recorded, the pack becomes overdue. It then behaves like any unpaid draft, and the console shows a reminder until it is marked paid.
Invoices
Every pack has an invoice. Its total is the quote saved at checkout plus delivery for the number of drops the pack was quoted for, minus any discount. You never type a free amount. Other invoices you may see:
- Delivery top-up: when a schedule change needs more drops than were paid for.
- Program adjustment: when your team switches a paid pack to a different program.
The Invoices page groups them as open, overdue, pending confirmation, paid, refunded and voided.
Refunds are bookkeeping
When a pack is cancelled, Sahen records its paid invoices as refunded and zeroes the remaining credits. It does not move money. Your kitchen returns the money to the customer outside the app, in whatever way you agree. Deliveries already made stay counted.
Driver cash handover
Cash collected by a driver stays with the driver until it is handed over. In Deliveries → Driver cash, each driver shows the amount they hold and the payments behind it.
- Count the cash with the driver.
- Choose Cash received for everything, or tick single payments and confirm only those.
- Those invoices become paid and the credits are added.
If money did not reach you, mark that payment Not received. The invoice returns to pending, and the next delivery's driver collects it.
